Version 2.0
Effective Date: September 18, 2026 Last Updated: September 18, 2026
This Privacy Policy describes how Loopaa, LLC, doing business as Loopa Golf (“Loopa Golf,” “we,” “us,” or “our”), collects, uses, discloses and protects information about you when you visit loopagolf.com (the “Site”), register for or attend a Loopa Golf event, use your player account, or otherwise interact with us (collectively, the “Services”).
This Privacy Policy is incorporated by reference into our Terms of Service, available at loopagolf.com/terms.
By using the Services, you represent that you are at least 21 years of age, maintain a primary residence in the United States, and are a U.S. person for United States federal tax purposes. Our Services are offered only to United States residents. If you do not agree to this Privacy Policy, please do not use the Services.
1. Information We Collect
1.1 Information you provide to us
Registration and account information. Your full legal name as it appears on your passport, preferred name, date of birth, email address, mobile phone number, mailing address, and the login credentials for your player account. We use date of birth to verify the minimum age requirement.
Golf and eligibility information. Your GHIN number and Handicap Index, your scoring history as reflected in your GHIN record, and information we use to verify eligibility, including professional-status history. We also collect the name and email address of the person you designate as your playing partner.
Event and travel information. Your villa tier selection, room and lodging preferences, arrival and departure details, food allergies and dietary requirements, and the name and contact details of the person you designate as your emergency contact.
We do not ask for, and ask that you not provide, medical histories, diagnoses, treatment information or other health records. We collect allergy and dietary information only to the extent needed to serve you safely at the event, and emergency contact details only to reach someone on your behalf if needed.
Payment information. Billing details necessary to process your registration payment. Payment card numbers are collected and processed directly by our payment processor and are not stored on our servers. See Section 4.
Tax identification information. For cash-prize winners, we collect a Social Security number or Individual Taxpayer Identification Number and other information required to complete IRS Form W-9 and issue applicable tax reporting (e.g., Form 1099).
Travel documentation. In advance of an international event, we collect your passport number, country of issuance and expiry date, solely to complete the guest manifest and immigration documentation required by the host resort and destination country. We collect this information late — approximately thirty (30) days before the event — hold it in a restricted, encrypted store separate from your player account, transmit it only to the host resort and required authorities, and delete it after the event. See Section 9.
Event preferences. Apparel and glove sizing, handedness, shoe size, equipment and ball preferences, preferred apparel brand, beverage preferences, home club, and event activity selections, used to prepare your gifts and personalize your experience.
Agreements and signatures. The registration documents you execute, together with the electronic signature record and completion certificate generated by our e-signature provider.
Communications. Information you provide when you contact us, respond to a survey, or communicate with our staff, and a record of that correspondence.
Photographs and video. Images, video and audio captured at Loopa Golf events. See Section 6.
1.2 Information collected automatically
When you visit the Site we collect standard technical information: IP address, approximate location derived from IP address, browser type, device type and operating system, referring URL, pages viewed, and interaction data collected through cookies and similar technologies. See Section 5.
We do not collect precise geolocation data, GPS coordinates, or device advertising identifiers.
1.3 Information we receive from others
We may receive information about you from your playing partner or a co-registrant who registers on your behalf or supplies your contact details; from our venue and event partners in connection with your stay and play; from our payment processor in connection with your transaction; and from the USGA GHIN system or an allied golf association in connection with handicap verification.
2. How We Use Your Information
We use the information we collect to:
- process registrations, payments, withdrawals, substitutions, refunds and credits;
- verify eligibility, including identity, age, handicap and amateur or professional status;
- administer the competition, including scoring, standings, leaderboards, prize determination and prize payment;
- communicate with you about your registration, event logistics, schedule changes and travel information;
- coordinate with venue and event partners regarding accommodations, meals, tee times, transfers and activities;
- respond to medical, dietary or safety needs during an event;
- operate and secure your player account;
- send you information about future Loopa Golf events, where you have not opted out;
- comply with our legal, tax, reporting and recordkeeping obligations, including prize reporting;
- protect against fraud, abuse and threats to the integrity of the competition; and
- improve the Site and our events.
3. How We Share Your Information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
We disclose personal information only as follows:
Venue and event partners. We share your name, arrival and departure information, villa assignment, dietary requirements and allergies, and emergency contact details with the resort, golf course operators, ground transportation providers and hospitality vendors that deliver your event package — including Casa de Campo Resort & Villas in La Romana, Dominican Republic — to the extent necessary to provide those services. See Section 8 regarding international transfer.
Payment processor. We use Stripe, Inc. to process payments. Your payment information is subject to Stripe’s own privacy policy and security practices.
E-signature provider. We use DocuSign, Inc. to deliver and execute registration documents.
Apparel and gifting vendors. We share sizing, handedness and preference information with the vendors who produce and fulfill participant apparel, equipment and gifts.
Service providers. Website hosting, email and communications platforms, analytics providers, insurance brokers and carriers, and professional advisors, each acting on our behalf and under contractual confidentiality and use restrictions.
Golf associations. The USGA GHIN system or an allied golf association, for handicap verification.
Handicap-integrity verification vendors. Third-party services we engage to verify the authenticity of GHIN and related handicap data and to help protect the competitive integrity of our events.
Legal and safety. Where required by law or legal process, or where necessary to protect the rights, property or safety of Loopa Golf, our participants or others.
Business transfers. In connection with a merger, acquisition, financing, or sale of assets, subject to confidentiality protections and this Privacy Policy.
With your direction or consent. For any other purpose disclosed to you at the time of collection.
4. Payment Processing
Payments are processed by a third-party payment processor. We do not store full payment card numbers on our servers. Your payment information is subject to that processor’s own privacy policy and security practices.
5. Cookies and Similar Technologies
Cookies are small text files stored on your device. We use them to operate the Site, keep you signed in, remember your preferences and understand how visitors use the Site.
Type | What it does | Managing it |
|---|---|---|
Strictly necessary | Enables navigation, secure areas of the Site, your player account session, and processing of your transactions and requests. | These cannot be switched off, because the Site does not function without them. |
Performance and analytics | Tells us which pages are visited, how visitors move through the Site, and where errors occur. Used to improve how the Site performs. | You may opt out through your browser settings or through the cookie controls on the Site. |
Functionality | Remembers information and choices you have made, such as your preferences and display settings, to provide a more personal experience. | You may opt out through your browser settings or through the cookie controls on the Site. |
We and our service providers may also use pixel tags, web beacons and similar technologies in the Site and in HTML-formatted email to measure whether messages were opened and links followed, and to compile aggregate usage statistics.
We do not use advertising cookies or third-party advertising trackers on the Site.
6. Photographs, Video and Likeness
Photography, video and audio are captured at Loopa Golf events for editorial, promotional and marketing use.
Each participant executes a Photo, Video and Likeness Release as part of registration. That release, and any election you make within it, governs our use of your name, image, likeness and voice. You may make your election at the time you sign, and you may change it later by writing to hi@loopagolf.com — though we cannot recall materials already published.
Nothing in this Section limits our ability to publish competition results, leaderboards, standings, prize information and other tournament records identifying participants by name.
7. Marketing Communications and Text Messages
We may send you information about future Loopa Golf events. You may opt out at any time using the unsubscribe link in any marketing email or by writing to hi@loopagolf.com.
Transactional messages about your registration, payment, travel and the event itself are not marketing, and you will continue to receive them for as long as you are registered.
We send text messages only where you have separately opted in to receive them. You may stop text messages at any time by replying STOP.
8. International Transfer of Information
Loopa Golf is based in the United States. Our events are held internationally, including at venues in the Dominican Republic.
By registering for an event, you acknowledge that the information described in Section 3 under “Venue and event partners” — which includes your name, travel details, lodging assignment, dietary requirements and allergies, and emergency contact information — will be transferred to and processed in the Dominican Republic, and in other countries where an event is held, for the purpose of delivering your event package. Those countries may have data protection laws that differ from those of your home jurisdiction.
9. Data Retention
We retain personal information for as long as necessary to fulfill the purposes described in this Privacy Policy and to meet our legal and business obligations. Specifically:
- Passport and travel documentation is deleted within thirty (30) days after the conclusion of the event, or sooner where the host resort and destination country no longer require it.
- Registration agreements, releases and signature records are retained for the applicable statute of limitations following the event.
- Tax and payment records, including prize payment and reporting records, are retained for the period required by federal and state tax law.
- Competition records — scorecards, handicap verification, standings and prize determinations — are retained as needed to administer the competition, resolve protests, complete integrity reviews and exercise our rights under the Official Tournament Rules.
- Account and marketing data is retained until you close your account or opt out, and then for a limited period in our backup systems.
When information is no longer needed, we delete it or de-identify it.
10. Security
We use administrative, technical and physical safeguards designed to protect personal information against unauthorized access, use or disclosure, including encryption in transit, restricted internal access, and contractual security requirements on our vendors. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Your Privacy Rights
Depending on your state of residence, you may have the right to:
- know what personal information we have collected about you, the sources, the purposes, and the categories of third parties to whom we disclose it;
- obtain a copy of that information in a portable format;
- correct inaccurate personal information;
- delete personal information we have collected about you;
- opt out of the sale or sharing of personal information, and of targeted advertising and certain profiling; and
- not be discriminated against for exercising any of these rights.
We do not sell personal information, we do not share personal information for cross-context behavioral advertising, and we do not use personal information for targeted advertising or automated profiling that produces legal or similarly significant effects. For that reason, we do not display a “Do Not Sell or Share My Personal Information” link. If our practices change, we will update this Privacy Policy and provide the required opt-out mechanism.
Sensitive personal information. For international events we collect your passport number, country of issuance and expiry date, which is sensitive personal information under California law. We collect it solely to complete the guest manifest and immigration documentation required by the host resort and destination country, we do not use or disclose it for any other purpose, and we do not use it to infer characteristics about you. You may direct us to limit its use to that purpose by writing to hi@loopagolf.com, and we already limit it to that purpose. It is deleted after the event as described in Section 9.
We do not collect driver’s license numbers, precise geolocation, racial or ethnic origin, religious beliefs, union membership, genetic or biometric data, or the contents of your communications. We collect Social Security numbers or Individual Taxpayer Identification Numbers only from cash-prize winners for tax reporting, as described in Section 1.1. Allergy and dietary information is collected and used solely to serve you safely at the event and is not used to infer characteristics about you.
How to exercise your rights. Email hi@loopagolf.com. We will acknowledge your request within 10 business days and respond within 45 days, and we will tell you in writing if we need up to an additional 45 days.
Verification. We will verify your identity before acting on a request. If you hold a player account, we may ask you to sign in. If you do not, we will ask you to provide information matching what we already hold — typically the email address associated with your record plus one or more additional data points. We use verification information only to verify the request.
Authorized agents. You may use an authorized agent. We may require written authorization signed by you, or a power of attorney under applicable law, and we may ask you to verify your identity directly with us.
Appeals. If we decline your request, you may appeal by replying to our response or writing to hi@loopagolf.com with “Privacy Appeal” in the subject line. We will respond to an appeal within 45 days and, if we deny it, will tell you how to contact your state attorney general.
State-specific rights. Residents of California, Colorado, Connecticut, Delaware, Maryland, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Texas, Utah, Virginia and other states may have additional statutory rights. California residents may also request information under California Civil Code § 1798.83 regarding disclosures to third parties for their direct marketing purposes; we make no such disclosures.
12. Opt-Out Preference Signals
We honor the Global Privacy Control (GPC) and other recognized browser-based opt-out preference signals to the extent required by applicable law. Because we do not sell or share personal information for cross-context behavioral advertising, such a signal will not change how we handle your information.
13. Children’s Privacy
The Site and our events are not directed to anyone under 18, and we do not knowingly collect personal information from anyone under 18. Registration for our events requires that you be at least 21 years of age. If you believe we have inadvertently done so, contact hi@loopagolf.com and we will delete it.
14. Third-Party Links
The Site contains links to third-party websites, including those of our venue and event partners. This Privacy Policy does not apply to those sites, and we are not responsible for their privacy practices. We encourage you to review their policies before providing information to them.
15. Changes to This Privacy Policy
We may update this Privacy Policy. The “Last Updated” date at the top reflects the most recent revision. We will provide notice of material changes through the Site or by direct notice where appropriate.
16. Dispute Resolution
Any dispute arising out of or relating to this Privacy Policy is governed by the Loopa Golf Dispute Resolution Terms, incorporated by reference and published at loopagolf.com/legal, which require binding individual arbitration subject to a thirty (30) day opt-out.
